Privacy Policy

This policy explains what data the Area Yield Portfolio Dashboard (the “Dashboard”) accesses, how that data is used and stored, and the choices available to you. It covers the Dashboard’s integration with QuickBooks Online.

In short: the Dashboard is a private, internal reporting tool operated by Area Yield LLC for its own property portfolio. It reads accounting data from our own QuickBooks Online company file to produce management reports. We do not sell data, we do not use it for advertising, and we do not share it with third parties for their own purposes.

1. Who we are

The Dashboard is operated by Area Yield LLC (“we”, “us”). It is an internal business-management tool used by Area Yield LLC personnel and its authorised property managers. It is not a consumer product and is not offered for sale or public sign-up.

2. Scope of this policy

This policy applies to the Dashboard published at dashboard.areayield.com and to the QuickBooks Online integration used to populate its financial reporting. It does not apply to Intuit’s own services, to Google’s services, or to any other third-party site, each of which is governed by its own privacy policy.

3. Information we access

3.1 QuickBooks Online data

With authorisation from the QuickBooks company administrator, the Dashboard reads the following from QuickBooks Online through Intuit’s official API:

Access is read-only. The Dashboard does not create, modify, or delete anything in QuickBooks.

3.2 What we do not access

Bank account credentials or full account numbers
Payment card data
Payroll records or employee personal data
Customer or vendor contact records beyond what appears as a class or account name
Any QuickBooks company file other than the one explicitly authorised

3.3 Property and tenancy data

The Dashboard also reads a Google Sheet maintained by Area Yield LLC containing rent-roll information (unit, tenant name, lease dates, rent amount, occupancy status). This data originates from us and our property managers; it is not collected from visitors to the Dashboard.

3.4 Visitor data

The Dashboard does not use advertising trackers, analytics cookies, or third-party profiling. It stores a small amount of information locally in your browser purely to make the tool work:

Session flag — records that you entered the access password, so you are not asked again during the session.
Display preferences — the data source and tab names you select in the settings panel.

This information stays in your browser and is not transmitted to us. Our hosting provider (Netlify) may keep standard server logs, including IP address and request time, for security and reliability.

4. How we use the information

Producing internal management reporting: occupancy, rent roll, lease renewals, turnover, and financial performance
Comparing periods year over year and tracking portfolio trends
Identifying data-quality issues such as uncategorised or unclassified transactions

We do not use the data for advertising, profiling, automated decision-making about individuals, or resale.

5. Storage, security and retention

QuickBooks credentials (client ID, client secret, refresh token, and realm ID) are held in encrypted credential storage and are never written into the published Dashboard files or exposed in the browser. Financial figures shown in the Dashboard are pre-aggregated summaries generated from QuickBooks reports.

The Dashboard is served over HTTPS and is access-restricted. Reporting data is retained for as long as it is needed for portfolio management and for any period required by tax or accounting obligations.

A note on the access password. The Dashboard includes a password prompt as an access control. It is a convenience measure appropriate to an internal tool and should not be relied upon as a substitute for platform-level access control.

6. Sharing

We do not sell, rent, or trade data. We share it only with:

Authorised personnel of Area Yield LLC and its property managers
Service providers that operate the underlying infrastructure — Intuit (QuickBooks Online), Google (Sheets), and Netlify (hosting) — solely to provide their service
Professional advisers such as accountants and auditors, where required
Authorities, where disclosure is required by law

7. Your choices and control

Disconnect QuickBooks at any time — in QuickBooks Online, go to Settings → Apps → Connected apps and disconnect. The Dashboard immediately loses all access to your accounting data.
Revoke access tokens — disconnecting invalidates the refresh token; no further data can be retrieved.
Request deletion — contact us and we will delete stored QuickBooks-derived data, subject to legal retention obligations.
Clear local settings — clear your browser’s site data to remove the session flag and display preferences.

8. International users

Area Yield LLC operates in the United States and data is processed there. Where you have rights under the GDPR, UK GDPR, or similar laws — including access, correction, deletion, and objection — contact us using the details below and we will respond within the period required by applicable law.

9. Children

The Dashboard is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date above will change and, where the change is material, we will notify authorised users directly.
